Wedding guest transport: a run sheet that gets everyone there
Turn accommodation addresses, ceremony times and reception returns into one clear transport brief your guests can follow.
Find the bus for your plans
The quick answer
Plan wedding bus hire around the time guests need to be at the venue, then work backwards with the transport team. Give every journey its own passenger count, pickup point and destination. Confirm venue access and the return plan before sharing the final run sheet with guests.
- Count passengers on each leg, not just the total wedding guest list.
- A second shuttle run needs time for unloading, the empty return journey and boarding again.
- Ask for waiting time and later return trips explicitly; they are not automatically included.
- Nominate a day-of transport contact so the couple can enjoy the celebration.

Separate the wedding into actual journeys
A wedding invitation tells people where the celebration happens. A transport plan needs to explain how each group gets between places. Start with the getting-ready location, guest accommodation, ceremony, reception and final return destinations. Not everyone will travel on every leg.
For example, the wedding party may leave for photos while guests travel directly to the reception. Some guests may drive themselves to the ceremony but want a ride home. Record those differences before deciding how many seats or vehicles you need.
- Wedding party: getting-ready address to ceremony, including any requested photo stop
- Guests: agreed accommodation or meeting point to ceremony
- Venue transfer: ceremony to reception, if the locations differ
- Reception return: agreed collection point to each requested destination
Work backwards from the venue arrival time
Ask your venue coordinator when guests should arrive and where they should enter. Give the transport team that arrival target as well as the ceremony start time. They are different milestones: arriving as the ceremony begins leaves no room for unloading and walking to the ceremony area.
Have the route reviewed before promising a pickup time. Boarding, traffic, venue access and the final walk all affect the schedule. An online driving estimate alone does not establish a suitable wedding bus timetable. For Brisbane, Gold Coast or Sunshine Coast routes, include the exact addresses rather than relying on a suburb name.
If the same bus is proposed for two guest collections, allow for its whole cycle. The first group must board, travel and get off before the vehicle returns for the next group. Ask the team whether repeated runs fit the arrival window or whether another arrangement is needed.
Make hotel pickups easy to find
One agreed meeting point can be simpler than a string of individual addresses, provided guests can reach it. Ask the accommodation provider where a bus can collect your group, then have that location checked with the transport team. A hotel name by itself may not identify the correct entrance or loading area.
Give guests a ready-to-board time and the confirmed departure time. Name one person at each pickup who can check the group is present. If someone is late, that person should contact the nominated organiser rather than sending conflicting messages to the couple, venue and driver.
Avoid publishing tentative times as final. Keep the draft with your coordinator until the route is agreed, then send guests one clearly dated version. A map pin can help, but include a written meeting-point description as well.
Check access before choosing the bus
For hinterland venues and private properties, ask about the entrance, turning space, gradients, low branches and any restrictions on large vehicles. Send the venue's instructions to the transport team. A beautiful driveway in a venue photograph does not confirm that a particular bus can use it.
Discuss mobility needs, entry steps, seating and anything bulky travelling with the group before booking. Do not assume wheelchair access, luggage space or room for large decorations. The exact vehicle and the items you need to carry should be considered together.
Bus Tour Rhymes lists 20, 30, 38 and 43-seat vehicles. Count every person travelling on each leg. A group of 40 needs more than a 38-seat vehicle, even if the journey is short. If numbers exceed one bus's capacity, ask the team to review multiple vehicles or runs; availability and timing still need confirmation.
Decide what happens when the reception finishes
Choose whether you want one group departure or to request an earlier and later return. Give each departure its own headcount and destination. An earlier option may suit some guests, but it needs to be quoted and scheduled rather than assumed on the night.
Confirm the collection point with the reception venue and tell guests how to find it after dark. If the return serves several accommodation addresses, agree on those stops beforehand. Guests should know where their arranged transport ends so they can plan any remaining journey.
A return pickup does not automatically mean the bus waits at the venue throughout the reception. State any standby time, extra transfers or photo stops in your request and check that the written quote covers the arrangement you want.
Copy this brief for your coordinator
Use one line for each journey, even when the same passengers or bus are involved. Leave unknown details marked 'to confirm' so they are resolved before the final guest message. Keep the detailed passenger list with the organiser rather than putting private contact details into a public wedding page.
- Wedding date and day-of organiser's name and phone number
- Journey label: hotel to ceremony, ceremony to reception, or reception return
- Passenger count for this leg, including any accompanying organisers
- Pickup address, precise meeting point and ready-to-board time
- Destination, approved entrance and required arrival time
- Venue contact and bus access instructions
- Mobility needs, items to carry, requested waiting time and photo stops
- Return departure, passenger count and final drop-off points
Send the plan before locking in guest instructions
Once you have the date, addresses, passenger counts and arrival targets, send the brief to Bus Tour Rhymes. You can nominate a preferred vehicle and the features you care about, then have the team check suitability, timing, availability and pricing.
An enquiry requires no payment and does not reserve a bus. Review the confirmed itinerary and booking terms before treating transport as arranged. Once agreed, send guests the pickup details and give your day-of contact a copy of the complete run sheet.
Before you book
Your questions, answered.
Can one bus make several wedding guest pickups?
Request all pickup points and the passenger count at each. The team needs to check the combined route, capacity and arrival window. Repeated shuttle runs also require time for unloading and the empty return journey.
How do we choose a wedding bus size?
Count passengers separately for each journey, then choose enough seats for the largest group travelling at once. The listed Bus Tour Rhymes fleet has 20, 30, 38 and 43-seat options; multiple vehicles or runs need a separate availability and timing check.
Does wedding bus hire include waiting during the reception?
Waiting time is only included when explicitly arranged. Ask for any standby time, later pickup or additional return run in your enquiry and check it appears in the written quote.
Can we arrange different return times for wedding guests?
You can request separate departures. Provide the time, passenger count and destinations for each one so the team can assess availability and quote the complete plan.
What should guests receive before the wedding?
Send the confirmed meeting point, ready-to-board time, departure time, return collection details and organiser's contact instructions. Use one final version after the transport team and venue have agreed the arrangements.
